2. Information we collect
Depending on how you interact with us, we may collect your name, job title and company; business contact details such as your email address and telephone number; information you provide through contact forms, demonstration requests, meeting bookings or correspondence; information relating to appointments you schedule with us; information about your interactions with our website and communications; and technical information such as IP address, browser type, device information and approximate location.
Where you choose to schedule a meeting with Völur through our website, we may collect information required to arrange the meeting, including your name, email address, company and information you choose to provide about the purpose of the meeting. We use Microsoft Bookings Scheduling to provide this functionality.
We may also collect cookie, analytics and similar information where this is permitted by law and, where required, you have provided consent.
We do not intentionally collect special-category or other sensitive personal data through our website or scheduling forms, and we ask that you do not provide such information unless specifically requested.
Some information, such as your name and contact details, may be necessary for us to respond to an enquiry or arrange a requested meeting. If you do not provide this information, we may not be able to respond to your request.
3. How we use your information
We use personal data to respond to enquiries, demonstration requests and meeting bookings; communicate with prospective and existing customers and partners; provide information about Völur and our services; manage customer, partner and commercial relationships; operate and secure our website and systems; understand and improve how our website is used; send marketing communications where permitted; comply with legal and regulatory requirements; and establish, exercise or defend legal rights.
We do not sell personal data.
4. Our legal bases for processing
The legal basis we rely upon depends on why we are processing your information.
When you contact us, request a demonstration or schedule a meeting in connection with our services, processing may be necessary to take steps at your request before entering into a contract or to perform an existing contract.
We rely on our legitimate interests where necessary to manage business relationships, respond to business enquiries, operate and secure our website and systems, develop our business and communicate with customers, prospective customers and partners. When relying on legitimate interests, we consider the potential impact on your privacy and do not rely on this basis where your interests or fundamental rights override our interests.
We rely on consent where required, including for certain marketing communications and non-essential cookies, analytics or similar technologies. Where processing is based on consent, you may withdraw your consent at any time without affecting processing carried out before withdrawal.
We may also process personal data where necessary to comply with a legal obligation.
5. How we share personal data
We may share personal data with trusted service providers that support our operations.
These may include providers of website hosting and infrastructure, online scheduling, customer relationship management systems, communications and email services, analytics and website optimisation, IT and security services, and professional, legal and financial services.
Our website and online scheduling services are provided by Squarespace. When you schedule a meeting using Microsoft Bookings, relevant booking information is provided to Microsoft so that it can provide scheduling services to Völur.
Service providers that process personal data on our behalf are required to process that information in accordance with applicable data-protection requirements and our instructions.
We may also disclose information where required by law or where necessary to establish, exercise or defend legal rights.
6. International transfers
Some of our service providers may process personal data outside Norway or the European Economic Area (“EEA”), including in the United States.
Where personal data is transferred outside the EEA, we use or require appropriate safeguards in accordance with applicable data-protection law. These may include an adequacy decision adopted by the European Commission, participation in an approved data-transfer framework, or European Commission-approved Standard Contractual Clauses.
Squarespace, which provides our website, may process personal data in the United States and other jurisdictions. Squarespace states that transfers of EEA personal data to the United States may rely on the EU–U.S. Data Privacy Framework and, where applicable, Standard Contractual Clauses or other legally recognised safeguards.
You may contact us at team@volur.no if you would like further information regarding safeguards used for international transfers.
7. How long we keep your information
We retain personal data only for as long as reasonably necessary for the purpose for which it was collected.
When determining the appropriate retention period, we consider the nature of the information, the purpose for which it was collected, whether we have an ongoing or prospective business relationship, applicable contractual requirements, legal and regulatory obligations, and the need to establish or defend legal claims.
Where processing is based on consent, we will also take account of any withdrawal of that consent.
Personal data that is no longer required will be deleted, anonymised or otherwise securely disposed of in accordance with our data-retention practices.
8. Your rights
Subject to applicable data-protection law, you may have the right to request access to personal data we hold about you; request correction of inaccurate or incomplete information; request deletion of your information; request restriction of certain processing; receive certain information in a portable format; object to processing based on our legitimate interests; withdraw consent where processing is based on consent; and lodge a complaint with a supervisory authority.
You have the right to object at any time to processing of your personal data for direct-marketing purposes.
In Norway, the relevant supervisory authority is Datatilsynet.
To exercise your rights or ask questions about our use of personal data, contact us at team@volur.no.
9. Cookies and similar technologies
We use cookies and similar technologies to operate our website and, where permitted, understand how visitors use it.
Some cookies and similar technologies are strictly necessary to provide functionality requested by you and do not require consent.
Where consent is required by applicable law, optional cookies and technologies used for purposes such as analytics or other non-essential functionality will only be used after you have made the relevant choice.
You can change or withdraw your cookie choices through the cookie settings available on our website.
For more information about the cookies and technologies we use, their purposes, providers and retention periods, please see our Cookie Policy.
10. Automated decision-making
We do not use personal data collected through our website, contact forms or meeting-booking functionality to make decisions based solely on automated processing that produce legal effects or similarly significant effects for you.
11. Security
We use appropriate technical and organisational measures designed to protect personal data against unauthorised access, loss, misuse, disclosure or alteration.
No internet-based service can be guaranteed to be completely secure, but we continuously work to protect the information entrusted to us.
12. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, service providers or legal requirements.
The latest version will always be published on this page together with the date it was last updated.
Where we make material changes to how we process personal data, we will provide additional notice where required by law.
